Bike Library Hire Requirements
Definitions
- Hire – The provision of the Hired Items for the agreed period and cost as booked by the Hirer via Recyke-a-bike’s Bike Library Renticy store, subject to Renticy’s terms and conditions and in conjunction with Recyke-a-bike’s requirements defined below.
- Hired Items – The products rented by the Hirer as detailed on the Hirer’s Order Form with Renticy.
- Hirer – The individual renting the Hired Items as detailed on the Order From made with Renticy.
- User – The individual using the Hired Items during the Hire.
- Hire Period – The dates between which the Hired Items are loaned to the Hirer as defined on the Hirer’s Order Form with Renticy.
- Temporary – 10 hours or less or when the Hired Items are in use.
- Semi-permanent – More than 10 hours, or when the Hired Items are not in use, or overnight.
- Immovable Object – Any solid object fixed in, or on to, concrete or stone, which is not capable of being undone or removed, with the bike or trike unable to be lifted under or over it.
Requirements
- All Users must be over the age of 18 years old.
- All Users must attend the pre-hire collection and training at Recyke-a-bike’ premises prior to the start of the Hire.
- The pre-hire collection and training must be arranged directly with Recyke-a-bike, so a date and time is agreed which suits both parties.
- All Users must provide three physical forms of ID at the pre-hire collection and training prior to the start of the Hire. The required forms of ID are:
- A current and valid passport or driver's license.
- A valid bill stating your current residential address where the bike is to be stored overnight (e.g., utility bill/council letter/bank letter) and be dated within the last 3 months.
- The third form of ID can be either of the two required IDs already mentioned above, but not a duplicate.
- Digital copies of the User’s IDs will be made and stored on our password-protected server until the Hired Items have been returned and the hire has been concluded, with any disputes resolved and outstanding payments made by the Hirer; after which, these digital copies will be deleted from our records entirely.
- The third form of ID can be either of the two required IDs already mentioned above, but not a duplicate.
- All Users must:
- Be able to safely use the Hired Items.
- Have read and understood the latest version of the Highway Code.
- Use the Hired Items in accordance with the law.
- Be considerate of other road users and pedestrians while using the Hired Items.
- Only use the Hired Items on road, cycle network, and shared-use path infrastructure. No off-road riding, mountain biking, pump track use, or velodrome use is permitted with the Hired Items during the Hire.
- Not use the Hired Items for any tricks, jumps, or racing of any kind.
- Not exceed the Hired Items’ load capacities.
- Use the lights provided during hours of darkness in accordance with the law.
- If using the Hired Items for professional use, provide Recyke-a-bike with the organization’s name and Public Liability insurance policy.
- Agree to the bike or trike being GPS tracked during the Hire. This is to protect against theft as well as to understand how the Bike Library is used.
- If the Hired Items are stolen, the User is responsible for reporting the incident to the Police immediately. The User must also notify Recyke-a-bike within 24 hours via phone or email and provide the crime reference number.
- If the Hired Items are involved in a collision with a third party or a third party’s property, the User is responsible for collecting the details of any other parties involved in the incident and reporting the incident to the Police immediately. The User must also notify Recyke-a-bike within 24 hours via phone or email and provide a traffic case reference number.
- Charging Requirements for e-bikes
- The User is responsible for charging the battery appropriately and safely. As a minimum, the following requirements must be met by the User while charging:
- Do not charge batteries in direct sunlight.
- Do not charge batteries above 25°C.
- Do not charge batteries where, if a fire broke out, it could prevent people from making a safe escape (e.g., close to doorways).
- Always monitor batteries while charging (i.e., do not leave unattended).
- Do not overcharge batteries (i.e., once at 100% then ensure charging cable is disconnected from battery and from mains socket).
- The User is responsible for charging the battery appropriately and safely. As a minimum, the following requirements must be met by the User while charging:

- When the bike or trike is temporarily parked at a destination and cannot be locked inside a secure and lockable building then the User must:
- Lock the bike or trike through its frame to an immoveable object.
- Use the lock provided.
- Remove the battery and keep this on their person or in a secure place until they return to the bike (this is only required for e-bikes and e-trikes).
- The Hired Items must not be left unattended, even if locked up, for more than 10 hours where there is public access.
- When the bike or trike is temporarily parked at a destination and cannot be locked inside a secure and lockable building then the User must:
- Semi-permanent Storage
- When the bike or trike is semi-permanently stored then the Hired Items must be secured inside a lockable building i.e.:
- A house or flat.
- A garage or outbuilding.
- A shed, where all external doors and windows are locked, and theft is occasioned by a forcible and/or violent entry. In this instance, the Hired Items must be stored out of sight.
- A purpose-built bike container where all external doors and windows are locked, and the bike or trike has been secured through its frame to an immovable object.
- If kept in a communal outbuilding or hallway, the bike must be locked to an immovable object.
- When the bike or trike is semi-permanently stored then the Hired Items must be secured inside a lockable building i.e.:

- Maintenance
- The User is responsible for keeping the Hired Items clean and in working order. However, the User must, under no circumstances, conduct any mechanical modification to the Hired Items, other than adjusting the seat height and/or a simple puncture repair. In the event that the Hire Items require any mechanical modification, then the User must contact Recyke-a-bike directly to arrange.
- Return
- All Hired Items must be returned by the Hirer, no later than 09:30am the day after the end of the hire.
- The Hired Items must be returned in a clean state. For bikes and trikes, the User must not use a pressure washer as this can damage certain components.
- Upon completion of the Hire, the Hirer must complete Recyke-a-bike’s post-hire survey.
